Admissions CRM: Inquiry to Enrollment, No Second Portal

What’s changed since (October 12, 2026): Admissions CRM has grown past what this post describes. It now covers open houses and group tours with a seat limit and a waitlist, timed follow-up emails, offer deadlines, enrollment contracts families e-sign in the app, funnel trends by week or month with campaign performance, returning-student numbers, and optional AI suggestions for staff. Read the update: Admissions CRM, From First Inquiry to a Signed Contract. The rest of this post is the original walkthrough of the first release.

Admissions CRM takes a family from the first inquiry to an enrolled student without a second portal: a funnel view, side-by-side candidate review, a reproducible lottery with a privacy-controlled results view, and a per-season checklist.

Before a family even has a Bloomz account

A public inquiry form on your website captures a lead, no Bloomz account required, with source tracking for web, event, referral, walk-in, or an imported list. The form works in English, Spanish, and Arabic, and a family can ask for a tour on it. From there, families complete a save-and-resume online application against a checklist your school configures per admissions season: forms, documents, recommendation letters, an interview, application fees. They do this themselves from My Admissions in the Bloomz app, and the office can step in for any family that needs help.

Tours and interviews on one schedule

Tour requests and interviews land on one staff schedule. Families can add an interview to their calendar, staff can share a calendar link for a tour, and an interview that is missed keeps the application from being submitted until it is rebooked or waived.

Review, decide, or run a lottery

Reviewers score candidates side by side against a rubric your admissions team defines. Decisions (accept, deny, waitlist, defer) go out one at a time or in bulk, each with a decision letter your school writes per season. Where a program needs one, a seeded, reproducible lottery draw runs with sibling preference and a privacy-controlled results view: names, initials, or number-only, your choice.

The family says yes, and pays the deposit

An accepted family accepts or declines the offer in Bloomz. If your school sets an enrollment deposit, the family pays it through Bloomz Pay, or the office waives it. A family can also withdraw, which frees any waitlist spot they held.

One click, into real enrollment

Accepting a student doesn’t hand a family a second account to create or a separate admissions portal to remember. One click converts an accepted applicant into the same Registration & Enrollment packet every other family at that school completes, once the school has published that year’s packet.

What the first release covered

The first release covered inquiry, tours, application, review, decisions, offers and deposits, waitlist, and lottery, plus the convert step. The funnel showed counts by lead source and a yield rate. Enrollment contracts with e-signature, events, follow-up emails, funnel trends over time, campaign tracking, and optional AI suggestions were not built then and have shipped since; the update post above describes them. Still not included: open or click tracking on follow-up emails, text-message sequences, and paid tickets for admissions events.

Available now, behind a flag

Admissions CRM is an Enrollment add-on, off by default until your district turns it on. See how it connects to enrollment on the Admissions page.
